Filing Requirements

for frequently filed documents

Warranty Deeds/Quit-Claim Deeds/Trustee’s Deeds

  • Property must be in Knox County
  • Preparer’s Name and Complete address
  • Seller(s) Signatures. Signatures must be Notarized.
  • Name and Address of New Owner and Responsible Taxpayer
  • Value and consideration. Signatures must be Notarized.
  • Value is taxable
  • Derivation (chain of title) reference number or book/page
  • Legal Description

Warranty Deeds can only have a $0.00 consideration if:
  • Between spouses
  • Exempt entity
  • Being put into a Revocable Living Trust

Trustee Deeds /Substitute Trustee’s Deeds must have a Trust Deed Reference and an Appointment Reference

Power of Attorney

  • Preparer's Name and Complete Address
  • Name of person being appointed
  • Signature. Signatures must be Notarized.

Lein

  • Lein Preparer's Name and Complete Address
  • Property description/reference
  • Signature. Signatures must be Notarized.

Notice of Completion

  • Preparer's Name and Complete Address
  • Name of owner
  • Signature. Signatures must be Notarized.

Reasons for Document Rejections

  • Original document not presented for recording
  • Property is not in Knox County, Tennessee
  • Names are not legible for indexing
  • Preparers name and address are missing/incomplete
  • Documents have not been signed
  • Documents have not been notarized or notary seal is a copy
  • Value/Consideration is missing or incomplete
  • Referenced Exhibit missing
  • Reference # or Chain of Title is missing
